Double keying data entry

Vitalware supports double keying data entry to ensure that all registrations are recorded accurately. This option is provided for entire registrations or critical fields of registrations (all registration modules can be configured to use the double key function).

When this utility is activated:

  • New registrations are entered by a data entry staff member as usual but are stored in a “holding bay”.
  • The original or another data entry staff member then re-keys all or part of the registration (some fields can be exempted from re-keying). Any inconsistencies between the first and second keyings are indicated and must be dealt with.
  • On completion of the second keying, the registration table is immediately updated.

Example

This example demonstrates how to double key a Birth record:

  1. Create a new record in the Births module
  2. Complete all fields in the module with data from the Birth registration application.
  3. Save the record.

    Note: If a second data entry staff member is to re-key the data, select Data Entry Completed from the Record Status drop list and save the record. The second data entry staff will locate records with a Record Status of Data Entry Completed and will continue with Step 4.

  4. Select Edit>Double Key (Ctrl+K) from the Menu bar.

    The record displays with all fields that are required to be double keyed empty:

  5. Re-enter the data.

    If a second field entry is different from the entry in the first keying, a Double Key Conflict box displays:

    If the data from the first keying is correct, select First Keying

    -OR-

    If the data from the second keying is correct, select Second Keying

  6. Select Data Verify Completed from the Record Status drop list.
  7. Save the record.

Note: A record cannot be saved in a partially double keyed state. All fields must be re-keyed before the record can be saved. If, for some reason you cannot complete the double keying of a record, press ESC to cancel the double keying and return to it at a later time.
